Turning, ordering and splitting pages

Not every scan arrives straight and in the right order. One page is upside down, one is there twice, two letters hang together in one PDF. nexpaper has page tools for that, right in the inbox and on the document. Every change becomes a new version, the original stays untouched, and you can go back to an older version at any time. For the tools you need the right “Edit” in the vault.

Turning, moving and deleting pages

  1. Open “Edit pages”

    The button is in the inbox under the page and on the open document. After that you see all the pages as small pictures.

  2. Tap a page

    The hint reads: “Tap a page, then turn, move or delete it.” To turn there are “Turn left” and “Turn right”, to order “Move forward” and “Move back”, and “Delete page” takes it out.

  3. “Save”

    Only now is anything saved, and as a new version. You see “Saved as a new version. The original is kept.” With “Cancel” you leave everything as it was.

Splitting a document at a page

If the pages from a certain point on belong to a different letter, you choose that page and tap “New document from here”. nexpaper asks: “From page 3 on becomes a document of its own. Both parts then wait in the inbox, this document goes to the trash.” You agree with “Split”. The two new documents then each have their own fields, which you check in the inbox.

Joining documents

Two scans belong together, front and back, say, or a letter and its enclosure. Open the document whose fields are to count and choose “Join with another” in the menu “More”.

  1. Search for documents

    In the dialog “Join” you look for what is to be added under “Search documents” and add it. Up to 20 documents go at once.

  2. Set the order

    Under “Order” you move the documents forward and back. Their pages go at the end of the first document, which keeps its fields (“keeps its fields”).

  3. “Join”

    The other documents go to the trash, and their notes and tags come along. “Joined: now 5 pages.” confirms it.

Splitting a batch scan

Whoever has a lot of paper does not scan it letter by letter. They put a stack in the feeder of the scanner and get a single PDF with all the pages. nexpaper can cut it back into letters at blank sheets.

  1. Put a blank sheet between the letters

    That is all you have to do before scanning. “Put a blank sheet between the letters before the stack goes into the feeder. nexpaper does the rest.”

  2. Look at the proposal in the inbox

    If nexpaper finds blank pages while reading, the entry carries a small pair of scissors and “Split proposed”. When you open it, the dialog “Split the batch scan?” stands in place of the fields: “nexpaper found 3 blank separator pages and proposes 4 documents.”

  3. Check the cuts

    A click between two pages cuts there or joins again (“Cut here”, “Join again”). If nexpaper takes a page for a separator by mistake, you keep it with “Keep page 5, no separator”.

  4. Split

    “Split into 4 documents” turns the stack into single documents. The separator pages are gone. The parts wait in the inbox like everything else, each with its fields. If you would rather keep the stack as one letter after all, tap “Keep as one document”.

If the stack was scanned on both sides, nexpaper notices: then the blank backs are dropped when it splits. The operator can switch the detection off under “Settings”, tab “Storage”, in the card “Text recognition” with “Treat blank pages as separator sheets”. It is on out of the box. Even without a proposal you can split any document at a point, as described above.

Versions and limits

  • Every change is a version. The tab “Versions” of the document says what caused it: “Pages edited”, “Joined”, “Split from a stack”. You bring an older one forward with “Restore” (chapter A document).
  • A PDF with a password or a damaged PDF cannot be edited. nexpaper tells you so. A document that is still being read you can edit only when it is done.
  • So that hundreds of changes do not run one after another by accident, nexpaper allows 30 page changes a minute per person. With more it asks you to wait a moment.
  • The recognised text travels with the pages. nexpaper does not read anything again after turning, ordering or splitting.

Good to knowWith a sheet-fed scanner, a thick stack with blank sheets in between saves the most work: you scan once, feed it in, and the single letters are in the inbox afterwards. Try it with five letters before you tackle the whole mountain.
